By integrating the Kudos® platform with your HRIS system, employees data can be imported directly from your HRIS to simplify user provisioning and administration! This helps not cut down on the amount of manual admin work required when managing employee information in the platform, but also helps maintain your data's accuracy as any changes made in your HRIS provider are automatically sent to Kudos.
We currently support integrations for the following HRIS providers, but are continually expanding our options so if you do not see your provider on the list feel free to reach out to your CSM or the support team for more information!
- Ceridian Dayforce
- SAP Success Factors
- UKG Pro
To start the integration process we need to first establish a connection between Kudos® and your provider. To begin, in Kudos go to Admin > Account Settings > Integrations and then select 'Connect' under the HRIS Integration card.
Once you select Connect a new window will open with the list of the currently supported HRIS providers, simply select your provider from the list.
After selecting your provider you will be brought to another screen to begin the authorization process for your provider. For more instructions on the required steps for your specific provider select the 'Stuck? See detailed instructions with screenshots' link on this screen. A new window will open that will help with any setups that may be required on your HRIS providers end.
Once you have completed the authorization process for your provider you will be brought to the following screen.
Make sure to select the 'Automatically sync' flag to enable automatic daily updates of your user data and then simply select the 'Pull users now' button to start the initial synchronize of data between your HRIS and Kudos®.
If the 'Pull User now' button is greyed out after setting up your connection no worries, the system can take some time to complete the initial platform synchronization during which you will not be able to pull your user data into Kudos®. This time varies between providers and how much user data there is to bring over, but typically ranges from 15 minutes to approx 2hrs.
Where made available by the HRIS provider, Kudos® attempts to sync the following user information:
- First Name
- Last Name
- Email Address
- Employee Number
- Job Title
- Start Date
- Birth Date
- Profile photo
And thats it! After completing your initial pull of user data into the Kudos® platform and enabling the daily automatic update option, you are all set. Going forward whenever an update occurs that affects any users in Kudos the default super admin for your organization will receive an email with the following details:
- New Users Added
- Users Updated
- Users Archived
- Users Re-Activated
- Any Errors Encountered
Kudos® makes it easy for you to have the ability to adjust what data from your HRIS provider is applied to your users within our platform.
To begin setting up custom field mappings between Kudos® and your HRIS go to Admin > Account Settings > Integrations and then select 'Edit' under the HRIS Integration card.
Once on the next screen, select the 'Add Custom Field Mapping' button. The following window will open in a pop-up, select Map fields:
You will then be shown the following screen with the list of fields within Kudos that you are able to set the source from you HRIS for. Simply find the attribute from Kudos® you want to set a new source for, and search for the desired field from your HRIS provider.
Please note the field names shown from your provider will be the fields they make available through their API and may not exactly match the field name that is shown to you within your HRIS.
Once complete select 'Save mappings' and you will be brought back to the previous integrations screen in Kudos®.
Saving new custom mappings will also trigger a new data sync between the systems during which the 'Pull users now' button will be greyed out and you will not be able to pull the updated user data into Kudos®. The time of this sync varies between providers and how much user data there is to bring over, but typically ranges from 15 minutes to approx 2hrs.
Once the sync completes just select the 'Pull users now' button to update your existing users with the new field data, and you are all set!
