With the Kudos® Platform's integration with Paylocity, employees can be imported from Paylocity, and their HR information will be synced into Kudos®. This eliminates the need to do the manual, duplicate entry of employee information.
Requirements
- An active account for both the Kudos® Platform and Paylocity must be set up, and an Administrator in Kudos® has the permissions to set up the integration.
- Kudos® must be added to the integrations list for your Paylocity account. This can be done by reaching out to Paylocity.
Integration Details
This integration is a one-way sync of employee information, from Paylocity to the Kudos® Platform. This maintains all employee information entered in Paylocity as the system of record. Any changes made to this information will automatically be synced in Kudos®. All users in Paylocity will be synched and added to Kudos®.
Users will be synced to Kudos® based on their status in Paylocity:
- A user in Paylocity that is not in the Kudos® Platform will be added
- A user in Kudos® that is archived that matches a user in Paylocity will be set to active.
The very first time the sync is performed, the user email address is used to look for matches. After this first sync, a unique external ID will be assigned in the database to each user in Kudos® (I.e. paylocity-1234). This unique external ID is used for all future syncs.
Kudos® syncs the following user information from Paylocity:
- First Name
- Last Name
- Email Address
- Employee Number
- Country
- Work Phone Number
- Start Date
- Location
- Supervisor
- Title
- Department
You will need to establish the level of privilege for each user by selecting User, Admin or Super Admin under their profile settings.
Supervisor information is not available from Paylocity. Supervisor information is required to properly see the Manager Dashboard and would need to be set up through Bulk User Changes.
Setup Instructions
An Administrator of your organization's Kudos® Platform must log in and navigate to the Integrations settings under Gear Icon > Account > Integrations. Click Connect on the Paylocity integration tile.
Next, enter your company's Paylocity Client ID, and select the Admin user you would like to notify upon each sync. If you do not already have your organization's Paylocity Client ID, please reach out to Paylocity to request integration access and they will provide your unique client ID.
Once the integration is successfully connected, you will see the following:
Clicking Edit will allow you to update the Admin user who receives the notification email after each sync.
If you enable Automatic daily syncs, Paylocity will perform the synchronization of data at approximately midnight every day. Clicking Pull Paylocity users now will force a data sync.
Managing the Integration
All users that are successfully synced will be shown in your User Admin panel. Any users added to Kudos® will need to be invited. To learn more about inviting users or turning on automatic invitations, please reference this article: Inviting Users.
You will receive an email once the sync is complete. The email will provide a confirmation of:
- New Users Added
- Supervisors Created
- Users Updated
- Users Archived
- Users Re-Activated
