Custom Rewards are a great way for organizations to add company-specific rewards to your Kudos® platform. Custom Rewards are easy to create and can be anything you wish. Common ideas include company swag, lunch with an executive, and a day off. Use the tabs below to learn more about setting up a custom reward catalogue, managing custom reward inventory, and processing redemption requests. Please note that your team will be responsible for processing and fulfilling custom reward orders.
To get started with Custom Rewards on Kudos Rewards+, please reach out to your CSM or support@kudos.com as our team will need to assist you with your setup. Custom Reward Catalogues are managed through SFTP, and our Rewards Team will provide SFTP credentials. You will need access to a SFTP client and will use the provided SFTP directory to update your catalogue contents and to track order progress for your users.
❗️Please confirm with your CSM or our Support Team how often you'd like to receive the order placement file: hourly, twice daily, or daily. The report will be sent as scheduled as long as there are orders in Pending status. Pending is the default status for new order placed from a custom catalogue. If there are no pending orders, the report will not be sent.
Please allow up to 10 business days for your Custom Reward catalogue to be setup.
Step 1: Fill in Custom Reward Catalog Import File
Send the above to your Onboarding Specialist, CSM, or Kudos Support.
Additional Notes
Create separate spreadsheets for each language with translations, if applicable.
Images should be "web-friendly". Recommended size is 150 X 300 pixels, no larger than 2MB.
If the reward offerings vary by country, create separate spreadsheets for each country. For example: You operate in the US, Canada, and Germany. You offer 5 custom rewards. All 5 rewards are available in the US and Canada, so you will submit 1 spreadsheet for the US & Canada. Only 3 of the 5 rewards are available in Germany, so you would need to submit a second spreadsheet that is specific to Germany.
Step 2: Decide on Export Frequency
Determine the export frequency based on your preferences and requirements. Options include: 1 hour, 12 hours, or 24 hours. As a best practice, we recommend setting the export frequency to 24 hours and to communicate an expected fulfillment timeline to your users.
Step 3: Provide Export Email Addresses
Specify the email addresses where you want to receive file processing results. Note: this is not a notification email to alert you of new pending redemptions. This is an email containing the results of processed order update files.
Step 4: Custom Catalog SFTP Folder

Your Onboarding Specialist, CSM, or Kudos Support will provide the SFTP folder credentials.

Choose your preferred file sharing program for accessing the SFTP folder (e.g., WinSCP or FileZilla).

Set up your SFTP folder using the credentials provided. The next step will guide you through the various folders within your SFTP and how to use the SFTP to process redemptions.
Complete an import template with all relevant product details to create your custom reward catalog.

Step 5: Custom Reward Folders- Incoming and Outgoing
“Outgoing” Folder:

Double-click the “Outgoing” folder to view its contents.

Navigate to the "Orders" folder to see new orders awaiting processing; these orders are referred to as “pending orders”. Download the last file with the most recent timestamp. This file will contain all pending orders that require processing, as an order will remain in pending status and on the outgoing order export file until they are processed.
Error Files: If an order update file fails, you'll receive an email notification in the email inbox specified in Step 3. Navigate to the Outgoing folder and open the error file to identify the issue.
