Custom Rewards are a great way for organizations to add company-specific rewards to your Kudos® platform. Custom Rewards are easy to create and can be anything you wish. Common ideas include company swag, lunch with an executive, and a day off. Use the tabs below to learn more about setting up a custom reward catalogue, managing custom reward inventory, and processing redemption requests. Please note that your team will be responsible for processing and fulfilling custom reward orders.
To get started with Custom Rewards on Kudos Rewards+, please reach out to your CSM or support@kudos.com as our team will need to assist you with your setup. Custom Reward Catalogues are managed through SFTP, and our Rewards Team will provide SFTP credentials. You will need access to a SFTP client and will use the provided SFTP directory to update your catalogue contents and to track order progress for your users.
❗️Please confirm with your CSM or our Support Team how often you'd like to receive the order placement file: hourly, twice daily, or daily. The report will be sent as scheduled as long as there are orders in Pending status. Pending is the default status for new order placed from a custom catalogue. If there are no pending orders, the report will not be sent.
Please allow up to 10 business days for your Custom Reward catalogue to be setup.
You will need to complete an import template with all relevant product details to create your custom reward catalogue.
A copy of the import template can be found attached at the bottom of this article, along with an image detailing the mandatory fields. Mandatory fields are highlighted in yellow in the image.
Once you've completed the import template, send it back to your Kudos® CSM or our Support Team. They will work with our Rewards Team to have your catalogue imported into your store.
Your team is fully responsible for fulfilling orders placed from your Custom Reward Catalogue. When new orders are placed, they will be set to pending status and will be visible on the order placement file. This report will be sent to the provided SFTP portal as scheduled as long as there are orders in Pending status. If there are no pending orders, the report will not be sent.
❗️Important Note: The report will be sent to your SFTP folder. You will not receive any email notifications for new orders; you will need to ensure you check your SFTP portal based on the report frequency you selected at setup. You will need to download the file from your SFTP folder, edit as necessary, and then re-upload the file to your SFTP folder. The updated file you have edited with your changes will be imported from your SFTP folder on the same frequency you selected for the outbound report.
❗️Your users will not receive any email communications until your team has updated the order status from pending to ordered or shipped. You will need to determine which of the status update flows you would like to use to keep users up to date on the status of their order:
- Option 1:
- Pending ➝ Ordered ➝ Shipped
- This flow requires 2 status updates (2 uploads)
- This flow notifies the user once their order has been received AND once their order has been fulfilled
- Pending ➝ Ordered ➝ Shipped
- Option 2:
- Pending ➝ Shipped
- This flow requires 1 status update (1 upload)
- This flow only notifies the user once their order has been shipped/fulfilled
- Pending ➝ Shipped
Once you've determined which communication flow you'd like to use from the options above, you will simply need to update the Status column on the order placement file and then re-upload this file to your FTP portal. This will then trigger the related email communications to your users.
When you need to add or remove items from your custom reward catalogue, you will need to edit the import template. Please reach out to your CSM or the Kudos Support Team if you need a copy of your current reward catalogue to edit. Once you've added or removed the items as needed, please send this file to your CSM or the Kudos Support Team so that they can upload these changes to your site.
