Sending group recognition is great when you are sending a single message to a group of users where the message type, content, and points value to all recipients is the same. This can be useful for employee appreciation events or during holiday seasons!
Step 1: Create the User Group
First, create a User Group through User Admin and add a Group Image. If the group is set to Public, all users will be able to see the group on the Home Page. If the group is set to Admin only, it can only be used for reporting purposes on dashboard and cannot be used in recognition. Next, add all users that will be receiving the message to the User Group. This can be done manually by selecting each user, or you can upload a CSV file with the user emails in the first column. We encourage you to create the User Group in advance of when you want to send the message.
Step 2: Prepare the Recognition Message
Next, determine the level of recognition you’d like to give. The Give Bar displays escalating levels of recognition, from appreciation moments (Thank You) to performance-oriented moments (Good Job, Impressive, Exceptional, and Awards).
- If the message will be sent with Points, it is important to ensure that the Sender of the message has enough Points to Give to cover the total points to be sent - or the message will be sent without points. If the Sender does not have enough Points to Give, complete a Points Override through User Admin. Please note that the Points Override will remain until it has been manually changed back. To set the override back, follow the same steps for a Points Override immediately after the message has been sent to revert the sender's points back to their regular allocation.
- If you are sending the message with points and you'd like to send more than 50 points with each message, a Kudos® Award must be sent. For Awards, ensure that the Sender of the message is a Super Admin, Admin, or User with “Give Kudos® Awards” permissions enabled.
- If you are sending an Award and want to include a Badge, ensure the Badge has been added to your system. You can also send an Award with no Badge.
- If you will be sending the Award with points, we encourage you to lock the points amount to the Badge. This article will guide you through adding a new Badge to your Kudos® platform and locking the points value.
- If you are sending the message with Points and your team uses KudosRewards®, it is important to ensure that the KudosRewards® fund has sufficient funds to cover redemptions. You are able to fund your KudosRewards® account by credit card. Please note that there is a USD$5,000 limit per credit card transaction. If a larger funding amount is needed, please reach out to your Account Manager or support@kudos.com for further details on funding your KudosRewards® account via Wire Transfer. Please allow 3-5 business days for Tango to process the Wire Transfer.
Prepare a meaningful recognition message, select the appropriate qualities, and select any attachments, GIFS, or stickers.
Step 3: Send the Recognition Message
Once you've created the user group, prepared the badge, and double-checked the sender's points allocation, you're ready to send your group recognition message!
- If you are sending the message from your own account, you can send the recognition message as you normally would. More information can be found here: How to Send a Recognition Message.
- If you are sending the recognition message on behalf of someone else, you will need to use Recognition by Admin. More information can be found here: Recognition by Admin.
