Establishing a birthdays and anniversaries program with Kudos® keeps employees engaged and helps retain top talent by letting them know their contributions and time commitment to the organization are seen and valued.
Our Birthdays and Anniversaries feature allows you to create a selection of email templates for birthdays, anniversaries, and milestones with a sophisticated email editing tool to allow more customization. Users will receive their birthday and anniversary notifications through email and in-app. Birthday and anniversary posts can be sent privately to protect personal information.
You can customize your account to automatically send your team birthday or anniversary posts with or without points, and you can set up service awards based on days, months, or years. You do not have to enable both Birthdays and Anniversaries.
❗️ You must have birth date or start date information saved in User Admin to use the respective functionality for each. Please reference this article if you need to update your user information: Editing User Information.
❗️You must have Birthdays and Anniversaries enabled for Wall Posts and the Events Widget to populate.
As a Kudos® Admin, you can personalize the birthday and/or anniversary posts to suit your organization by using badges and points. Birthday and anniversary badges will be displayed on the user's profile page for them to look back on. There will be a default badge available for both birthdays and anniversaries. More information on adding your own badges can be found here: Badges
💭 If you need to confirm whether a user has received points with their birthday or anniversary post, please reference the System Points Sent Detail Report on the Points Dashboard.
To set up birthday posts navigate to Admin ⚙️ > Account > Customize > Birthdays. Here, you can activate birthday posts. Click the toggle to turn on the birthday posts:
Please be aware that birthday posts, and any associated points, will not be sent retroactively.
You can determine if you’d like birthday wall posts to be public or private:
If the birthday wall posts are public, the post will display on both the main home feed and the user’s profile page for all users to see and comment on. If birthday wall posts are private, no posts will be made in your Kudos® platform. Users will receive the email notification and any allocated points.
Below is an example of a public wall post with a badge:
Once you have enabled Birthdays you can select a badge if you’d like to include a badge with the birthday wall post and email:

If you’d like to send points with the birthday post, you can input a point value. These are system points and do not come from a specific user. These points do not need to be included in a specific user’s monthly points allocation. Enter 0 if you’d like your birthday posts to be sent without points. If you have selected a badge that has locked points, you will need to edit the badge points in the Badges section.
Next, you’ll need to select an email template which determines the content of the email each user will receive on their birthday. Click on the drop-down menu to select a template:
If you need to create a new template, click Templates and then click Add:
Now you can create a template to suit your organization. Use the text editor to change the font, text size and colour. You can add hyperlinks, images or emojis to your message.
🌟 Hint: Enter %{f} if you’d like to automatically include the user’s first name. Enter %{l} if you’d like to include their last name. Enter %{p} if you’d like to reference any points that will be sent with the message. Enter %{b} if you’d like to insert the badge name and image.
❗️Be sure to remove any reference to points in your template if you are not sending any points with your post.
Once you’re happy with your template, click save:
You can preview the email your users will receive by clicking the eye icon:
Once you’ve set the birthday badge, points, and template, click Save to ensure your automatic birthday posts are sent to your users:
Work anniversaries are a core part of an organization’s recognition program as they offer an excellent opportunity to recognize, celebrate and acknowledge every individual on your team. Milestones offer a great way to celebrate and acknowledge every individual on your team at regular, pre-planned intervals. You can set anniversary posts by days, months, or years. Each anniversary post can be set to be sent with or without points, and you do not have to send points with every anniversary post. You can set daily milestones for weekly celebrations for new employees, and continue this through their 30, 60, and 90-day milestones.
To set up Anniversary posts, navigate to Admin ⚙️ > Account > Customize > Anniversaries. Click the toggle to turn on Anniversary posts:

First, select the milestones you'd like to celebrate; your options are: day (e.g., first week), month (e.g., six months), or year (traditional anniversaries). Your Kudos® system will send the selected notification based on the user's start date at your company:

You will need to set up each post individually. If you’d like to copy the settings for an anniversary post, you can click the copy icon to duplicate the settings. This can be helpful if you are setting up recurring yearly anniversaries and simply need to adjust the frequency.
If you need to edit your birthday or anniversary post settings, you can do so by navigating to Admin Gear > Account Settings > Customize > Birthdays or Anniversaries. Here you can update the badge, points, or template:
Be sure to click Save once you’ve made your changes so that your settings are live!
